Event Information

LOCATION: 

The market is located inside the greenhouse. Food and drink specials will be available in the attached cafe.

LOAD IN:

Load-in opens at 2pm on Saturday, September 26. Vendors are invited to park in the Oakridge parking lot while they set up, but we ask that you move your vehicle (see Parking below) after setup is complete. We will have some staff and volunteers onsite to help with load in. Please check in at the Gather booth before setup.

PARKING:

Due to the great community response we have received, we are expecting a large turnout. We will be reserving the Oakridge parking lot for customers, but we have an agreement with the RM of Hanover to use their parking lot. This parking lot is just across Hwy 52. We ask that, after you have set up your booth, that you park your vehicle across the road in the Municipality parking lot. We will have a "shuttle" service to drive you back—volunteers who will bring you back to Oakridge. We ask that you do not walk across, as the highway can be busy and we want to ensure everyone's safety. At the end of the night, our volunteers will be there to bring you back across to the parking lot to fetch your vehicle.

SETUP AND TEARDOWN:

Please ensure your booth is set up and you are ready to take payment by 4:30. Setup is open at 2pm.

Early teardown is NOT permitted and may result in blacklisting from future events. We will have some volunteers on-site to help with teardown.

Just a reminder that we do not provide chairs. Tables are ONLY provided if you paid for them and requested them. If you do need a table, please reach out to us this week as we have a couple available. Reminder: table rentals are $15 each. Please remember to keep fully within the boundaries of your booth, and to build up rather than out. Remember to bring supplementary lighting; it will get dark quickly in there!

LIGHTING:
As noted, we will be in the greenhouse. The lighting inside is low—this is great for the overall vibe, BUT we strongly encourage that every vendor bring supplementary lighting for their table. Fairy lights, string or puck lights, or battery-powered lamps are good options. Remember to keep them battery-powered if you did not purchase an electrical booth.

SHOPPING:

With such an amazing lineup, we know our vendors will want some time to shop from one another's booths. So, while the market only technically opens at 4:30, we would love to see vendors set up a bit earlier so other vendors can circulate and have a chance to shop before the doors open. If you are bringing a helper for setup, consider having them watch your booth for you to process payments from other vendors while you shop! And remember to give your fellow vendors tickets for the door prize, which is valued at over $900 (nearly 1k!) currently!

BATHROOMS:

Oakridge's cafe will be open to serve food and drink, and there is both an accessible bathroom indoors, and a smaller stall as well. In the greenhouse (where the market takes place), there is an accessible washroom. This will be reserved for vendors with accessibility needs, as this will otherwise be reserved for our tattoo artist.

CLOTHING—DRESS WARM!:

We will be set up inside the greenhouse, which is not heated. It's been a beautiful year and it's not overly cold inside, but we do recommend dressing accordingly. Feel free to bring blankets, or a cozy shawl or sweater, to throw on as the sun sets and the greenhouse cools off.

We also encourage you to come dressed on-theme for a celestial market! Think everything mystical, whimsical, or fantasy-inspired. This is not a requirement, just a fun suggestion. We will also be suggesting that shoppers should feel free to dress up, as well. 

VENDOR SUPPORT:

We (the Gather team) have added our phone numbers to the info packet you'll get upon checking in. Please text or WhatsApp us throughout the night if you need anything, and we'll get a volunteer over to your booth to help out! 

We will be providing free water bottles for our vendors.

What our volunteers can help with:

1.  Watch your booth if you need to go to the bathroom or grab some food

2.  Take payment if you have clear pricing set up and cash/square available OR let customers know you will be right back to take payment

3.  Bring you a bottle of water (they will be circulating and offering them, but feel free to text and request!)

4. Bring you more door prize tickets if you are running low

We will have a volunteer photographer circulating and taking some images, so keep an eye out!
